Stage 2: Launch Mail Merge

Once your email draft is ready, you can proceed to the following steps.

Select the Start Mail Merge option by clicking the Mailing tab in the menu ribbon.

Note: The next time you choose Start Mail Merge, a window will appear that highlights the Email Messages menu icon to let you know that you have already toggled this option. 

Step 3: Pick the recipients of your email

Select Recipients can be found under the Mailings tab.



You'll see a drop-down menu with three choices, including:

  • Publish a New List
  • Use a current list
  • from the list of Outlook Contacts

You can manually enter the contact information for your new email list by choosing "Type a New List."

Use a current list: Add contacts from a different file. You must set up your contact information for this option in a database with at least three columns or a spreadsheet (.cvs file) (First Name, Last Name, Email Address).

Pick from the contacts in Outlook: Choose the recipients of your emails from the MS Outlook contact lists (aka your address book). This includes email addresses that you have contacted in the past using Outlook.

If you don't already have one, create one by selecting Custom Columns.

Edit the entries in your contact list (double-click any column) to clean it up. Additionally, you can manually add or remove entries.

To store your updated address list as a file on your computer, click OK. Any new address list will be saved under "...DocumentsMy Data Sources" by default.

Step 4: Make your message unique

Once you've added your subscribers to your recipient list, you can now personalize your message.

You can add any recipient list column as a dynamic field to your email using the Insert Merge Field function.

Select Insert Merge Field from the Mailing menu.

For example, a column labeled "Company" could replace the name of the company your email recipient works for.



Place the newly added insert fields with double angle quotes ("«») where you think they fit most comfortably.


Step 5: Complete and combine.

You can send your first mass mailing without any problems because personalization is already included. On the ribbon menu, select Delete and Merge, then select Send Email Messages.



To send, enter a subject line and click OK.
